About the job

Position Title: Marketing Admin

Function: Marketing

Contract: 3P Contract

 

A. Purpose of Position

  • Monitor and ensure marketing expenses operations and payment in timely manner.
  • Ensure the compliance process & continuity operation.
  • Key contacts: Internal: Vietnam Marketing team, Trade Marketing, E-commerce, Finance, Procurement. External: Suppliers & Agencies at relevant functions if any

 

B. Key Responsibilities

  • Marketing Expenses Operations:
  • Execute end-to-end process of PR, PO/Accrual to till release PO, GRN, Liquidation by Marketing Team request.
  • Check & review quotation, approval evidence related to PR/Accrual/Liquidation request.
  • Consolidate evidence needed to be recorded following Compliance Rules
  • Coordinate with Internal team/Finance/Procurement team to make sure all expenses raised & proceeded in time.

2. Process & Administration (PPM support)

  • Monitor PR/PO/Accrual processes to ensure payment in accuracy timeline.
  • Support and update budget tracking, monitor for line manager to control Monthly Budget
  • Coordinate with Internal team/Finance/Procurement Team to make sure smooth payment processes/recorded expenses with vendors.

3. Payment

  • In charge End-to-end process for all system payments & documents of Marketing Team
  • Follow up to ensure all related documents submitted in time from requestors/vendors.
  • Collect & record all documents from requestor/vendors for audit purposes.

 

4. Data Consolidation:

  • Consolidate performance data from agencies on a preset routine to update reporting templates timely and accurately
  • Coordinate with agencies to clarify discrepancies or missing information when required
  • Maintain organized documentation and reporting archives for tracking and reference

 

5.Other task assigned to support Team:

  • Support the process and follow-up of product delivery (FOC) for barter, sponsorship.
  • Support market research fieldwork when required
  • Submit Travel & CRM Claim process for Department Manager, Head of Function
  • Conduct other tasks when assigned by manager in a timely manner.

 

C. Requirements

  • Education:College/ bachelor’s in business administration/ marketing/ finance
  • Industry Experiences: FMCG
  • Position Experiences: 6 months - 1-year of experience in Marketing and/or Sales Admin, especially in FMCG including contract, document processing and SAP, or other similar process to facilitate purchase in corporation is preferred

Language:

  • English (Elementary)
  • Formal Vietnamese (To administer the communication channel)

Knowledge/ Skills:

  • MS office (Word and Excel are a must)

Others requirement:

  • Detail Oriented
  • Good time management skill
  • Communication with stakeholders.
  • Demonstrate executional follow-up.
  • Able to work dynamic changing environment, quickly adapt with new system.
