About the Job
a. Team Management and Leadership:

Build, organize, assign tasks, and lead the operational coordination team.

Monitor employee performance, conduct regular evaluations, and develop individual development plans.

Train, coach, and motivate team members to ensure they have the necessary skills and knowledge to perform effectively.

Build and maintain a professional, disciplined, and collaborative work culture focused on shared goals.
b. Planning and Optimizing Coordination Processes:

Lead the development, standardization, and improvement of operational coordination processes (e.g., request intake, capacity checks, resource allocation, handover, tracking, etc.).

Ensure efficient process execution, minimize errors, and optimize handling time.

Propose and implement technological solutions or systems to enhance coordination efficiency (e.g., order management systems, dispatching software, transportation data management platforms).
c. Resource and Operational Data Management:

Oversee the intake of order information from Sales Departments and coordinate vehicles/resources accordingly.

Work closely with Fleet Management and relevant departments to ensure resource readiness and availability.

Manage and ensure the accuracy of operational data (e.g., ODO readings, charging penalties, ETC, handover reports, etc.) in the system for auditing and reporting purposes.

Ensure that order information is sent accurately and promptly to the Operations Dispatching department or related parties for preparation and delivery.
d. Analysis, Reporting, and Improvement:

Establish and monitor key performance indicators (KPIs) for operational coordination (e.g., dispatching time, response rate, error rate, resource utilization efficiency).

Collect, analyze operational data and prepare periodic or ad-hoc reports for the Board of Directors on performance, arising issues, and proposed improvements.

Track daily delivery/pickup reports and update future vehicle delivery plans to support scheduling.
e. Cross-Department Coordination and Problem Resolution:

Work closely with relevant departments (Sales, Warehousing, Accounting, Customer Service, etc.) to ensure smooth collaboration and resolve any operational issues.

Take initiative in handling urgent situations or incidents related to coordination operations to prevent disruptions and maintain customer satisfaction.
